The plain-English version first: we collect only what we need to match you with one installer, we share it only with that installer, we never sell it more widely, and you can ask us to delete it at any time.

Who we are
Coolhouse (“we”) is operated by James Cooper, St Albans, Hertfordshire, United Kingdom. We are the data controller for personal data collected through this site, registered with the Information Commissioner’s Office — registration reference ZC079482 (you can verify this on the ICO public register). What we collect, and why
Homeowner enquiries: your name, postcode, phone number, email, the services you’re interested in, your rough timeframe, and whether you own the home. We collect this for one purpose: to match your enquiry with a single vetted local installer so they can contact you about a quote.
Installer applications: company name, contact name, phone, email, trades and coverage areas — used to assess and manage your participation in our installer network.
Technical data: for security and spam prevention we log basic request information (such as the browser user-agent) and briefly process a one-way hashed version of your IP address to rate-limit the enquiry form — we don’t store your raw IP, and the hash is discarded within the hour. This rests on our legitimate interest in keeping the service secure. We do not use advertising cookies or tracking pixels on this site.
Our lawful basis
We process homeowner enquiry data on the basis of your consent, which you give by ticking the box on the enquiry form. We process installer application data on the basis of taking steps to enter into a contract with you. You can withdraw consent at any time by emailing us — we’ll stop processing and delete your details.
Marketing emails are separate and optional. We only send project tips and updates if you tick the second, optional box on the form specifically asking for them. That’s a separate consent — leave it unticked and we’ll only email you about your enquiry. Every marketing email carries a one-click unsubscribe, and you can opt out any time by clicking it or emailing us.
Who we share it with
Your enquiry is shared with exactly one vetted installer per trade — the one matched to your job — so they can contact you about a quote. That is the entire model. We do not sell your details to marketing lists, we do not share your enquiry with multiple competing firms. The installer we match you to becomes an independent data controller of your details: they are contractually required (see our installer terms) to use them only to quote for your enquiry, keep them secure, not market to you or re-share them, and delete them on request. We’ll tell you which installer received your enquiry.
Beyond that matched installer, your data is only handled by the service providers who run our infrastructure, each processing it on our instructions:
- Supabase — database hosting (London / UK region).
- Vercel — website and form hosting (pinned to London).
- Resend — sends our transactional and (if you opted in) marketing email. Resend is a US company; where email is processed outside the UK it is covered by the UK International Data Transfer Addendum, so your data keeps its UK-level protection.
- Cloudflare — DNS and email routing.
How long we keep it
Enquiry data is kept while your enquiry is active and for up to 24 months afterwards (so we can honour our re-match promise and quality guarantees), then deleted. If you ask us to delete it sooner, we will.
Your rights
Under UK GDPR you have the right to access, correct, delete, or receive a copy of your personal data, to restrict or object to our processing, and to withdraw consent at any time. Email hello@coolhouse.uk and we’ll act on it within one month. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk), though we’d appreciate the chance to put things right first.
Cookies
This site sets no cookies of any kind — not essential, not analytics, not advertising — which is why you’ll never see a cookie banner here. If that ever changes (for example, if we add analytics that require consent), we’ll update this policy and ask first.
